Position : Project Coordinator/Project Manager
Location : SFO, CA
Duration : 12 Months
Job Description :
· The Senior Project Coordinator assists in the planning and implementation as a member of a project team to accomplish the objectives of a project with limited, local objectives. Must be comfortable with ambiguity.
· Must have experience supporting medium and large-scale IT implementation projects.
Essential Duties and Job Functions:
· Works with project team to understand and assist with tracking all work, task and project assignments.
· Work with Project Managers to assist in developing a comprehensive workflow process for project.
· Attend project meetings and distribute minutes to all project team members
· Review and track invoices, purchase requisitions, and purchase orders
· Maintain document control, database management, track project activities and team communication.
· Assists project team and team lead in strategic meetings and follow up with meeting notes.
· Schedule project follow up meetings as needed.
· Develops and publishes communications to project shareholders with guidance from the project manager
· Develops and review project status and reports
· Follow Procurement process from inception to delivery to final payment
· Maintains a detailed project schedule which includes administrative tasks and all sites involved in the project
· Coordinate meetings and maintain follow up activities
· File all project documents (soft copies) in the respective project folders
· Responsible to track project changes and produces updated schedule as agreed with project management
· Responsible to take input from project managers to develop and maintain the detailed schedule.
· Support Project Managers with Administrative tasks (updating schedules, developing reports, updating Project Management tracking tools
Knowledge, Experience and Skills:
· Bachelor’s degree or equivalent experience
· Three to Four years of experience in a Project support role and/or project management role
· Demonstrated experience in personnel management
· Familiarity with project management software, such as Jira, Smartsheet or Clarizen a plus
· Experience at working both independently and in a team-oriented, collaborative environment is essential
· Experience in creating agendas, minutes, correspondence, documentation, and presentations
· Technically competent with various software programs, such as MS Project, Word, Excel, PowerPoint etc.
· Can conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities
· Reacts to project adjustments and alterations promptly and efficiently
· Flexible during times of change
· Strong written and oral communication skills
· Adept at conducting research into project-related issues and documents the same
· Customer service skills an asset
· Skills to effectively prioritize and execute tasks in a high-pressure environment is crucial
· Ability to read communication styles of team members and contractors who come from a broad spectrum of disciplines
· Excellent Task Management using Jira is a must have.
