JOB DETAIL

The Project Coordinator - AFC 2025, will be responsible for driving forward and supporting project activities to on-time completion for assigned workstreams within AFC 2025.  The Project Coordinator will have a focus on the vehicle installation and software testing/rollout activities within the project. This role must be able to coordinate the delivery process while operating within the constraints and framework of the MBTA’s Project Agreement with AFC vendors. Stakeholders range from MBTA operating divisions to third party government bodies and utilities.

 

DUTIES & RESPONSIBILITIES:

•             Coordinates the preparation for and execution of testing to ensure MBTA readiness.

•             Monitors and coordinates rollout of software packages to ensure correct versions are active throughout the AFC environment.

•             Assists with coordination the review of designs and other project materials for feedback from integrated management teams.

•             Coordinates and removes roadblocks for vehicle installation activities.

•             Assists the AFC 2025 Project Team in management of consultant and contracted work.

•             Facilitates procurement work for the AFC 2025 project contracts including finalizing contract documents; facilitating the pre-bid and bid evaluation processes; and facilitating amendments, change orders, payments and other authorizations.

•             Coordinates rollout of project in MBTA stations and facilities which continue to operate in revenue service, and the necessary interfaces with MBTA operations departments.

•             Interface with an integrated management team spanning across other MBTA departments (including Capital Delivery, Engineering & Maintenance, Vehicle Engineering, and Operations) to support project planning and delivery.

•             Facilitate and/or coordinate resolutions to questions or other program design and implementation issues. Participate in program meetings and planning sessions.

•             Manages additional project workstreams and tasks as assigned.

•             Build and manage project schedules in Microsoft Project (or similar tool).

•             Respond to each inquiry, whether from a customer, vendor or co-worker, in a courteous and professional manner consistent with the Authority's customer service quality standard.

•             Uphold the rights and interests of the Authority while building and maintaining an effective relationship with employees; assist in the management of a workforce by ensuring the fair and consistent application and strict adherence to the rules, regulations, collective bargaining agreements (if applicable) and policies of the Authority including the EEO, Anti-Discrimination and Anti-Harassment and Anti Retaliation policies; and perform related duties and projects as assigned.

 

MINIMUM REQUIREMENTS/QUALIFICATIONS:

•             One (1) to Three (3) years of related experience with transit or software projects.

•             Working knowledge of solution design, technology, contract management, project delivery methods, team building and client relationship building.

•             Bachelor’s degree from an accredited institution in a business or technology discipline, or related field.

•             Strong project management skills including establishing and utilizing project management systems.

•             Advanced proficiency with Microsoft Office programs including Word, Excel, PowerPoint, and Project.

•             Excellent problem solving, interpersonal communication and project management skills with the ability to resolve unplanned issues in creative and effective ways.

•             Strong written and verbal communications skills.

•             Committed to a collaborative, conscientious, and results oriented approach.

•             Adhere to rules, regulations, collective bargaining agreements (if applicable) and policies of the MBTA including the EEO, anti-discrimination, anti-harassment, and anti-retaliation policies.

•             Ability to pass a Criminal Offender Record Information (CORI) check, background screening, and the MBTA’s medical requirements, including a physical examination and drug and alcohol screening.

PREFERENCES:

•             Experience working in transit or multi-discipline infrastructure programs.

•             Familiarity with Primavera P6 or Microsoft Project scheduling software.

•             Experience using online collaboration and tracking tools (e.g. eBuilder, Slack, Asana, Basecamp, Jira, etc.).
