JOB DETAIL

Client is a network of over 250 veterinary practices across the US, offering best-in-class resources and support to their partners.  The Company grew through several acquisitions, which resulted in disparate systems for front-office (client acquisition) and back-office (Care Management and Revenue Cycle Management). To overcome these silos and to create enterprise value, Client is embarking on a digital transformation program to (i) improve certain operational efficiencies, (ii) standardize care management, (iii) gain access to critical business data for revenue and profitability analysis, and (iv)  achieve a common operating platform for Patient Information Management System (“PIMS”).

 

To achieve its transformation objective, Client requests PIP to provide Business Analysts to lead business analysis, requirements gathering, functional design, conference room pilot,  testing, and migration activities.

 

Scope Of Work

Business Analyst

PIP’s Business Analysts (“Business Analyst”) will work closely with Client to support the PIMS Design and Implementation program. The Business Analyst will leverage Clients’s Program and Project management methodology and lead practice recommendations for requirements, planning, execution, governance, and risk management.

 

The Business Analyst will:

Business Analysis

  • Understand the business rationale for the PIMS modernization program, including objective, end-state goals, functional key priorities,  key stakeholders, functionality, integrations, and interfaces.
  • Review & document different clinic types and typical workflows.
  • Analyze business processes by reviewing current-state and future-state process maps and identifying areas for improvement or opportunity.
  • Document typical roles and superset of existing workflows, business rules, patient acquisition, clinical procedures, codes (CPT), and costs.
  • Address critical gaps in the PIMS system document, specific functionality, configuration, workflow, business logic/rules, key reports, navigation, technical architecture, etc.
  • Create “prototype clinics” and categorize each clinic by prototype to build the change management journey for each clinic.
  • Facilitate requirements gathering meetings and workshops, identify key features and functionality, and translate requirements into functional design.
  • Discuss and agree on how the business process will change and be standardized to accommodate key changes in tool capability vs. previous ways of working.
  • Finalize harmonization of To-Be processes and associated data taxonomy.
  • Systematically identify and define business requirements, evaluate alternatives, and implement effective solutions.
  • Confirm workflows and rules. Validate and agree on the RICE items (reports, interfaces, customizations, and extensions).
  • Confirm Data Standardization and migration approach.
  • If applicable, drive the consolidation and data management effort across workstreams by partnering with Client business, IT stakeholders, and third-party vendors.
  • Continuously improves processes, develops efficiencies, and collaborates to resolve issues.

 

Project Planning and Coordination

  • Oversee individual workstream priorities, plans, critical path milestones, and dependencies to ensure the timely execution of the program.
  • Coordinate activities and direct resources for the assigned workstream/track at the direction of the Client. 
  • Implement or leverage existing processes to track, monitor, and report workstream progress.
  • Facilitate communication and alignment across workstreams.
  • Interface with Client’s IT leadership and the Project Manager to ensure the successful execution of the projects.
  • Manage stakeholder expectations and maintain clear communication on progress and issues.
  • Align cross-workstream plans, critical path milestones and dependencies, and issues/risks will facilitate timely leadership decision-making.
  • Participate in project meetings with the Client to oversee project-level decisions and provide thought leadership for critical decisions.
  • Assess potential risks and create risk mitigation plans encompassing IT systems, services, governance, and performance management.
  • Deliver weekly status reports for the workstream, highlighting accomplishments, key risks and issues, path-to-green plans for at-risk items, and critical decision support.

 

Testing & Change Management Support

  • Oversee the activities performed by the technical team to ensure the functional design is adequate and accurately translated into technical design and implementation.
  • Help business unit better use systems and data to accomplish their goals.
  • Facilitate testing activities, including integration and user acceptance testing (UAT).
  • Leverage existing test scripts and modify/update them to execute an acceptable test strategy and plans.
  • Define and develop testing acceptance criteria, work with the technical team to address bugs and issues.
  • Prepare a migration checklist and maintain an accurate inventory of objects to be migrated.
