JOB DESCRIPTION
Job TitleOperations Manager (Non-Academic)

  • It is the second most important and critical function after the Principal and has the responsibility to lead the Non-academic operations of the school from a planning, forecasting and executing standpoint
  • He/ she should be highly process oriented and capable of driving a highly standardised mode of operations based on the processes, policies and guidelines laid down by the corporate office
  • A proactive and solution oriented leader who drives team work and collaboration with both the academic and non-academic staff at the school
  • Ensure facility and infrastructure up-keep and maintenance adhering to the high standards set by the VIBGYOR brand
  • Drive operational excellence and service efficiencies with a keen eye on cost control at the centre
  • Adeptly driving engagement with parents, government and regulatory authorities and ensuring compliance with statutory regulations and guidelines
  • Effectively leading engagement with key suppliers, contractors and other stakeholders in order to ensure zero or minimal disruptions and downtimes across the centre



Implement processes and guidelines and ensure execution of smooth facility operations and business continuity

  1. Overall responsibility of non-academic operations at the school - Initiate and monitor performance of centres along with team
  2. Pro-active planning and implementation of requisite activities (academic and non-academic) to ensure smooth operations at the centre
  3. Responsible for operational efficiency and service delivery
  4. Should drive key initiatives relating to standardisation of processes and systems, execution of continuous improvement initiatives and process enhancements at various centres
  5. Implement guidelines and procedures for all facility related actionable and provide inputs to corporate office for enhancement
  6. Implements action plans, sets and manages goals, delegate tasks, and tracks metrics for ensuring effectiveness and efficiency of outcomes and for providing management updates
  7. Supervise and lead the activities for facility management encompassing housekeeping, security management (people, assets, and facility), canteen facility, new school setup, soft services etc. at the various centres
  8. Closely monitor service request/ ticket escalation from various departments and ensure speedy and effective closure
  9. Effective implementation of audit mechanism for consistent review and closure of operational challenges and for evaluation of centre level competency and capabilities and ensure the audit points are addressed in a systemic way
  10. Ensure safety, health and hygiene of students, ancillary staff, etc. in line with the guidelines of the corporate office and relevant government authorities.
  11. Ensure institutionalisation of a robust incident reporting, review and preventive approach

Plan, execute and supervise all infrastructure activities basis organisation growth plans

  1. Effectively manage complete activity lifecycle of Infrastructure Management encompassing planning, developing, implementing and controlling.
  2. Handling complete infrastructure set up involving Schools, Cafeteria, School infrastructure etc.
  3. Manage effective maintenance of building services (electrical, air-conditioning, plumbing, landscaping, civil works, etc.). associated with the centre. Implement processes related to planned and preventive maintenance.
  4. Collaborate with cluster and corporate teams to ensure effective and timely implementation of infrastructure related activities and snags


Procurement, Budgeting (Capex and Opex) and inventory management

  1. Create yearly budget and forecast plans for the capital and operational expenses.
  2. Coordinate and assist the corporate office in procurement of capital items and consumables by carrying out evaluation of available resources and additional requirements based on expansion/ additional requirement and replacement.
  3. Consistently map the expenses and ensure adherence to defined budget outlines.
  4. Drive mapping of the inventory and associated movement of the assets within and across centers includes stores and sub-stores


Work with vendors and government regulatory authorities

  1. Provide inputs for selection and vendor empanelment process for various facility requirements of organization (operational and safety).
  2. In-charge and review of work done by the vendors and contractors at school and ensure that the work meets the time, cost and quality standards. Provide inputs to corporate office to enable vendor evaluation
  3. Interface with the Government departments like Electricity, Labour Department, Transport Department etc. for prompt support and work closure wherever necessary.
  4. Ensure all the documentation and processes are followed to ensure timely bill collection and processing of payments of vendors


People Management and best practices

  1. Accountable for staff efficiency at the center & overall retention rate of team. Creates action plans, sets and manages goals, delegate tasks, and tracks metrics
  2. Ensure all the staff at the center are trained on the process manuals, work instructions and audit processes
  3. Contribute towards knowledge building of the team by exposing them to various learning opportunities as mandated by the corporate. Review the adoption and implementation

MIS Review

  1. Sets up regular daily, weekly and monthly review with team members to ensure the team is aligned on the key priorities and actions.
  2. Participates and contributes to weekly cross functional review meeting chaired by the Principal
  3. Implements and monitors the MIS system and identifies areas of non-conformance and improvement


CANDIDATE PROFILE:

  • Highly Process Oriented and having experience of implementing standardised working procedures
  • Knowledge and demonstrated success in the execution of continuous improvement initiatives
  • Demonstrated ability to synthesize, prioritize and drive results with a high sense of urgency
  • Data Orientation, Analytical ability & Problem-solving skills

Qualification: Graduate, preferably a person with and Engineering/ operations background, or a related qualification

Work Experience: Min 10-12 years of varied experience in operations (preferably from service intensive and process oriented industries such as Chain of schools, Retail, Hospitality, and Healthcare, etc.)
