Requirements and skills
- Proven work experience as an Administrative Officer, Administrator, or similar role.
- Solid knowledge of office procedures.
- Experience with office management software like MS Office (MS Excel and MS Word, specifically)
- Strong organization skills with a problem-solving attitude.
- Good written and verbal communication skills.
- Attention to detail.
Administrative Officer responsibilities include:
- Manage office supplies stock and place orders accordingly.
- Maintain and update company asset databases.
- Organize a filing system for important and confidential company documents.
- Answer queries of employees and clients.
- Maintain a company calendar and schedule appointments.
- Book meeting rooms as required.
- Prepare reports as assigned.
- Arrange travel and accommodations.
- Schedule in-house and external events.
- Conferring with the accounting department to help make payments, process incoming invoices, and verify receipts.
- Ensure functionality of necessary office equipment and requisitioning new equipment and supplies as needed.
- Offer assistance in organizing events and ordering materials.
- Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
- Track and report key functional metrics to reduce expenses and improve the effectiveness
- Oversee facilities services, maintenance activities, and tradespersons (e.g. electricians).
- Responsible for reviewing admin-related vendors.
- Maintenance of contracts and AMC of admin vendors.
- Review of invoices from admin vendors.
- Arrangement/Coordination during festive and other functions.
- Supervise housekeeping and security staff.
- Responsible for visitors and guest hospitality.
Qualifications for Administrative Officer
- 4-5 years of experience in the same domain.
- Knowledge of using standard office equipment.
- Comfortable working independently when needed, or as part of a team.
